Signed Receipt of Information and Policies for Families

Keeping careful records and maintaining an organized system for those records are important practices of any business. Written receipts serve as documentation that families have received copies of your written policies. If questions arise about your policies, it is helpful to have a record of information that was shared with a family.

Documenting Information Received

To meet the requirements for Administrative Policies and Practices: Receipt of Policies: ADM 2.4, you will upload a signed receipt from a family showing that they received a copy of your program’s written information. Your written policies may be in the form of a family handbook, written agreement, or contract.

The following interactive shows the requirements for Administrative Policies and Practices: Receipt of Policies: ADM 2.4. To meet the requirements, you will upload a signed written receipt documenting that a family received a copy of your program’s written policies at the time of enrollment. Your written policies may be in the form of a family handbook, written agreement or contact.

You may leave a comment for your Program Coordinator if the receipt does not clearly show when the family received the written information.

Next Steps

Check your documentation one more time as you prepare to upload it to the Maryland EXCELS System.

 

Step 1: Prepare to Upload Your Document

  • Scan and save the receipt. Use a file name that is easier to remember and locate (example: family-receipt.pdf).
  • Locate your username and password for logging into your Maryland EXCELS account.
  • Locate where you saved your written document on the computer.
 

Step 2: Look Ahead and Plan for Improvement

Congratulations! You are ready to upload a signed receipt showing that families receive written information about your program’s policies and procedures. If your documentation meets the requirements for ADM 2.4, it also meets the requirements for ADM 2.5.

Plan for Improvement

Signed receipts are one example of sound business practices. Consider learning more about other business practices that help your program run smoothly. The McCormick Center for Early Childhood Leadership offers business administration training for family child care and child care centers.
